Roles and Responsibilities:
  • Understand and follow Delivery & Close-Out Processes
  •  Understand Project Contracts and SOWs
  •  Properly Track/Report on Project Deliverables
  •  Enter POs in System Immediately and Accurately in Accordance with Procurement Plans
  •  Ensure All Projects assigned to you meet the Contractual Deliverable Due Dates
  • Enter Project Budget & Plan into Financial System, per the BOE
  • Schedule site visits, Prebid’s and or site surveys to assist DE&E providing detailed information as a report back to DE&E
  • Assist DE&E and PM with quotes and pricing as needed
  • Assist with Coordinating & Formatting Docs for Kick-Off Mtgs
  • Schedules and coordinates all team meetings and site visits. Attends meetings and records minutes when required and attends assigned handoff meetings with DE&E
  • Complete New Vendor Add Form as needed
  • Update Budgets, Raids Checklist, Project Schedules, and RM Schedule per PM Instructions
  • Prepares PO request for subcontractors, enter POs in appropriate systems and issue for approvals in Accordance with Procurement Plans, Track Materials & Update PO Tracker
  • Ensure that all client project billing and invoices are submitted to finance
  • Safeguard and keep all project-related materials/tools organized in warehouse and/or at project sites and follow all check in/out procedures.
  • Process/Track Equipment & Material RMAs
  • Track and Save All Product Info Collected During Installation
  • Track and coordinate RFI's provided by PM and file in project folders
  • Track Quality Plans, QC Inspections, prepares QC report and assembles QC documentation
  • File Safety Plans & Safety Inspection
  • Coordinate with contracts to facilitate NDA and subcontract agreements.
  • Update Warranty Tracker Monthly and Process Warranty Closeout Form with PM
  • Act as Liaison for Customer Management/Satisfaction
  • Works closely with assigned project teams on all assigned projects to satisfy administrative requirements
  • Serve as back-up Operations Administrator
  • Other duties as assigned
 
Requirements:
  • High attention to detail
  • Associate degree or equivalent combination of education and experience
  • 2 years of administrative support experience and functions
  • 1 years of previous project coordination experience and functions
  • Ability to effectively support up to 3 million in backlog at a time
  • Knowledge of invoice formats and requirements for documentation for expense reimbursements
  • Purchasing and procurement policies and procedures
  • Previous hands-on experience working in a project team environment and knowledge of project implementation is preferred
  • Advanced MS Office Suite Skills
  • Effective written and verbal communication skills
  • Strong analytical and problem solving
  • Strong organizational skills, including multitasking and time management.
  • Ability to adapt to a fast paced, dynamic work environment.
  • Excellent planning skills and presentation skills
  • Ability to read, write and speak English

Preferred:
  • Previous experience in project coordination for security integrators or contractors. 
  • Strong understanding of Communications Networks 
  • Basic Networking Principles 
  • System integration experience 
  • Previous experience working with federal government agencies

Pay: $22.08 - $29.20
