The Operations Administrative Coordinator plays a critical role in strengthening project execution across Trofholz. This position supports Operations, Project Managers, Contracts, and Quality by ensuring documentation is accurate, deadlines are visible, and workflows remain organized — even in fast-moving, high-demand environments.

This is not a passive administrative role. It requires someone who thrives in dynamic settings, can manage shifting priorities, supports teams during urgent project demands, and helps bring clarity and consistency where needed.

The role combines strong administrative support discipline with practical AI tool usage to improve speed, accuracy, and efficiency across daily operations. The primary goal is to streamline processes, strengthen documentation integrity, and uphold Trofholz’s Diamond Delivery standards.

This position is required to report to our Sacramento Office – this is NOT a Remote position.

Your Impact

You will serve as a central operational partner across multiple teams, ensuring documentation integrity, workflow consistency, and execution support.

Key responsibilities include:
  • Maintain organized, audit-ready project files and documentation
  • Support vendor and subcontractor coordination
  • Prepare meeting summaries, action lists, and status report drafts
  • Assist with procurement tracking and contract documentation
  • Use AI tools to summarize meetings and complex documents
  • Draft internal and client communications for leadership review
  • Generate structured task lists from transcripts and project notes
  • Improve and standardize templates and workflows using AI tools
  • Identify automation opportunities to improve workflow efficiency
  • Track deliverables, deadlines, and compliance requirements
  • Support ISO documentation standards and audit readiness
  • Assist with project close-out documentation packages

This role requires active, effective use of AI tools as part of daily workflow execution.

What You’ll Bring
  • 3+ years of experience in operations administration or similar role
  • Experience in structured, compliance-driven, or ISO environments preferred
  • Demonstrated professional use of AI tools in a work setting
  • Strong proficiency in Microsoft 365
  • Exceptional organizational skills and attention to detail
  • Ability to manage multiple priorities while maintaining accuracy

Compensation & Benefits
Pay: $25.50.00–$26.50/hour (DOE)
