As our Contracts Administrator, you'll be at the helm of overseeing the administration and management of government contracts, subcontracts, and teaming agreements. You'll play a critical role in ensuring full compliance with contract requirements and agreements, providing essential guidance and support to our Business Development and Operations Teams throughout the entire process.

This is a remote position, and we are seeking candidates located in the EST time zone.

Roles and Responsibilities:
  • Perform a full range of administrative functions, often of a confidential or sensitive nature; compose correspondence, file maintenance, complete forms, and use templates
  • Compile and summarize data, perform analysis, and create reports for review
  • Develop and maintain extensive spreadsheets and databases 
  • Demonstrate positive, professional relationships and customer service with staff, co-workers, managers, the general public, and all key stakeholders.
  • Responsible for coordinating all proposal activities for the Proposal team in preparing comprehensive responses to RFPs/RFQs/RFIs
  • Responsible for reviewing Federal Gov/Commercial/State RFPs; coordinating winning proposals, preparing/submitting proposals, and writing and editing, and maintaining calendar dates.  Analyze and provide summaries/recommendations as required.
  • Develop or/and maintain a Customer Relationship Management System to provide lead/customer/partner tracking and develop policies, guidelines, and training to be used company-wide. 
  • Oversee the publication of review copies (paper & e-files) for Pink/Red/Gold teams' reviews and standardized file configuration management procedures. 
  • Support the Proposal team for stand-up meetings, presentations, task assignments, compliance matrix, etc., provide after-action/lessons learned reports, and coordinate supporting activities of writers, engineers, administrative staff, and other disciplines as required.
  • Communications Management: Execute methodology for receiving, tracking, and handling incoming/outgoing communications and correspondence.
  • Tracking, creating, and managing Proposal Team reports as required.  This includes tracking and reporting on team progress made against department goals and initiatives per the department’s functional business plan.
  • Improve Proposal Tools/Templates.
  • Coordinate and oversee recurring departmental tasks and assignments as necessary.
  • Assists with related special projects as required.

Requirements:
  • Associate degree or equivalent experience.
  • 3 years supporting a business development team(s) in proposal development in a Security/Construction industry and/or for government contracts.
  • Ability to maintain strict confidential standards.
  • Advanced MS Office Suite, MS Teams, PowerPoint, Adobe Acrobat, as well as other software applications.
  • Strong aptitude for numbers.
  • Ability to manage multiple priorities concurrently.
  • Excellent attention to detail.
  • Must be an effective communicator and have the ability to interface well with Program/Project Managers, industry partners, and government agencies.
  • Stellar organization, communication, and organizational skills.
  • Experience with proposal/contract compliance issues, administration of contracts, and contracts agreements is a plus.
  • Experience supporting administrative activities in a Business Development setting.
  • Previous experience with the Proposal process and understanding of federal contracting requirements.
  • Excellent knowledge and understanding of written comprehension with proven proofreading, editing, and professional writing capabilities. 
  • Conversant and previous hands-on experience in the full life cycle and timeline management of the business proposal publication process.
  • Ability to edit and write business and technical proposal components.
  • Excellent communication skills with the ability to effectively present information and respond to questions from groups of managers, clients, customers, and employees.
  • Ability to work effectively under pressure with fast turnaround times.
  • Stellar time management, analytical, problem-solving, and organizational skills.
  • Superior multi-tasking with strong attention to detail and accuracy
  • Clear and effective communication skills: You excel at conveying information concisely, ensuring that messages are communicated clearly and accurately.

Pay: $23.00 - $29.20
